1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. If you subscribe to a paid plan, we collect billing information through our payment processor (see Section 5).

Usage Data

We automatically collect information about how you interact with the Service, including pages visited, features used, session duration, browser type, operating system, IP address, and referring URLs.

Audio and Transcription Data

When you use AiNoted to record or upload audio, we process that audio to generate transcriptions, summaries, and AI-powered analyses. See Section 3 for detailed information about how we handle audio data.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process your audio recordings and generate transcriptions, summaries, and analyses
• Process payments and manage your subscription
• Send you transactional emails (account confirmation, billing receipts, password resets)
• Improve the Service through aggregated, anonymized usage analytics
• Respond to your support requests and inquiries
• Detect, prevent, and address technical issues and security threats
• Comply with legal obligations

3. Audio Data

Your audio recordings and the transcriptions, summaries, and analyses generated from them are central to the Service. We treat this data with the highest level of care:

• Processing: Audio is transmitted securely to our servers and processed using Google's Gemini API for transcription and AI analysis. Audio data is transmitted in encrypted form.
• Storage: Processed audio and transcription data are stored in your account and are accessible only to you unless you choose to share them via secure links.
• No Training: We do not use your audio recordings or transcriptions to train our own AI models. Your content remains your content.
• Deletion: You may delete any recording and its associated data at any time from your dashboard. When you delete content, it is permanently removed from our servers within 30 days.

4. Third-Party Services

We use the following third-party services to operate AiNoted:

Stripe

We use Stripe to process payments. When you subscribe to a paid plan, your payment card information is collected and processed directly by Stripe. We do not store your full card number on our servers. Stripe's use of your data is governed by their privacy policy.

Google Gemini API

We use Google's Gemini API to power our transcription and AI analysis features. Audio data is transmitted to Google's servers for processing. Google's Gemini API data is processed in accordance with their API terms of service. Data sent via the API is not used by Google to train their general models.

5. Data Retention

We retain your account information and associated data for as long as your account is active. If you delete your account, we will delete your personal data and audio content within 30 days, except where we are required to retain certain information for legal or regulatory compliance purposes (such as billing records, which may be retained for up to 7 years).

6. Security

We implement industry-standard security measures to protect your information, including:

• TLS/SSL encryption for all data transmitted between your browser and our servers
• Encryption at rest for stored audio and transcription data
• Secure password hashing using modern cryptographic algorithms
• Regular security audits and vulnerability assessments
• Access controls limiting employee access to user data

While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

Depending on your jurisdiction, you may have the following rights regarding your personal data:
